Are you an experienced Freelance Resource Manager with a strong background in an integrated agency?
We are looking for a skilled Resource Manager to work with a creative agency to manage resource requests from project managers and client services weekly plus ad hoc dailies.
This role will see you planning resources, managing daily studio updates and traffic manage changes to project scheduling, both proactive and reactively – acting as an essential piece between client services, project management, strategy, production, and the creative/design/tech departments.
Planning resource weekly and reprioritisation daily for design, creative teams, copy, art directors, motion graphics in Resource Guru
Traffic of all studio design resource and some creative teams
Raising requests for freelance new starter passes, new starter macs/equipment, new starter email, management of freelance timesheets, manage the closing of accounts for freelance leavers
Studio + creative resource billability to ensure targets are met
Run daily design stand up with design and delivery team – provide potential solutions to any clashes / bottle necks – know the relevant deadlines of each project so a priority call can be made if needed
Collect, interpret, and manage weekly project scheduling requirements from delivery and account management and plan time for design and creative in Resource Guru
Maintain the master resource schedule (Resource Guru) – chase job numbers if not provided from the necessary account manager / project manager
Identify conflicts of resource interest and work through solutions with relevant team members – realistically manage account team’s expectations accordingly
Drive process with account managers / PMs to send over briefs
Attend weekly status meetings on select accounts within the agency, to get a deeper understanding of the deadlines / project requirements / upcoming briefs
Attend weekly casting meetings with ECD & department heads to ensure their teams are distributed on the correct projects. Identify to the department heads which new briefs offer the best creative opportunity. Provide relevant updates on creatives within the department if asked, particularly those already over capacity, to help avoid clashes / burnout
Communicate with staff members to ensure they are balancing their workloads; ensure they are appropriately briefed and take advantage of any pauses in that individual’s week
Identify and escalate the need for Freelancers to Creative Services Director providing suitable evidence if needed that supports why it’s required and can’t be fitted internally
Support with freelance recruitment & IT set up for Design and Creative teams – agreeing with the relevant CD what specific freelancer is required in terms of skillset / experience, before then briefing out to recruiters
Support Creative Services Director with the generation of freelancer contracts, carry out CEST assessments and IR35 compliance checks
Skills and Experiences
- Previous experience working within a busy integrated agency working across ATL and BTL campaign
- Previous experience managing workflow specifically across design and creative
- Experience building effective relationships across all levels of a business
- Excellent verbal & written communication
- Experience in planning resources in Resource Guru or on a similar system is desirable
- Strong attention to detail
- A problem-solving mind set with the ability to adapt to last minute change
- Cool head under pressure
- Can do attitude – used to working in a fast-paced environment
