Job Specification - Account Administrator
Purpose of job:
To provide administrative support for teams responsible for some of the company´s key accounts.
To develop a knowledge of the project process. To build relationships both with the internal team and with external clients and suppliers.
To become indispensable to the efficient running of large, fast moving accounts.
Experience coming to the role
Minimum of five years ´ experience in a secretarial/administrative role.
Must be proactive, able to work on own initiative and have bags of common sense as well as being a good team player.
driving best-practice financial administration of client accounts
setting up an efficient, accessible system for managing the above
utilising and improving administrative tools and templates
setting-up and centralising administrative files
understanding the project costing structure
tracking, billing and reconciliation of outside costs
produce client invoices
producing financial status reports in Excel
chasing team members for all necessary information
ensuring 3rd party suppliers have all appropriate legal documentation in place
chasing clients and suppliers for all necessary information - eg purchase orders or non-disclosure agreements
generating correspondence - eg emails, letters and meeting notes
making national and international travel arrangements, processing visas and producing itineraries
ensuring clear, consistent communication with team colleagues
setting up meetings and co-ordinating multiple diaries across multiple time zones
sourcing materials for presentations and workshops
good computer skills - eg MS Word, Excel, Outlook
ability to work under pressure
able to suggest improvements to established processes
thorough attention to detail
a proactive approach to all tasks
flexible approach to work and ability to work with a wide range of personalities
ability to prioritise and juggle a large number of tasks at a given time
writing skills - good command of English and grammar
